Send Scanned Data to an Email Recipient
- To send scanned data to an email recipient, you must configure your machine to communicate with your network and email server, which is used to send and receive emails.
- You can configure these items from the Web Based Management.
- To use the Scan to Email Server function, your machine will need to be connected to a network and have access to an SMTP server. You will need the following SMTP email settings before you can proceed:
- Server address
- Port number
- User name
- Encryption type (SSL or TLS)
- Email server certificate (if used)
If you do not know these settings, contact your email service provider or network administrator.
- Load your document.
- Press [to Email Server].
- If you registered your email address with your user ID, the [to My E-mail] option appears when you log on to the machine using Secure Function Lock, Active Directory Authentication, or LDAP Authentication.
- To send scanned data to your email address, press [to My E-mail]. When your email address appears on the LCD, press [OK].
- To enable this feature in Web Based Management, go to the navigation menu, and then clickSend to My E-mail field, select On.. In the
- Do one of the following to enter the destination email address:
- To enter the email address manually, press [Manual], and then enter the email address using the keyboard on the LCD. When finished, press [OK].
If the email address is stored in the machine's address book, press [Address Book], and then select the email address.
Press [OK].
- Confirm the email address, and then press [Next].
- To change the scan settings, press [Options]. Configure the following settings:
Option Description 2-sided Scan When using 2-sided scanning, select 2-sided Scan: Long Edge so the layout of the data file’s pages matches your original.
Color Setting Select the color format for your document.
Resolution Select the scan resolution for your document.
Preview Preview a scan result on the LCD, before the scanned data is saved.
File Type Select the file format for your document.
Document Size Select your document size.
File Name Rename the file.
File Name Style Select the order in which the date, counter number, and other items appear in the file names.
File Size Select the file size for your document.
Skip Blank Page When On is selected, blank pages are skipped.
Advanced Settings Continuous Scan Scan more pages than the maximum capacity of the ADF and save them as one data file.
After scanning the first batch of documents, press Continue to scan additional pages. When finished scanning, press Complete.
Color Tone Adjustment Adjust the brightness and contrast.
Adjust Auto Color Detect When Color Setting is set to Auto, you can adjust the detection level of color.
Skip Blank Page Sensitivity Select the sensitivity level for detecting blank pages in the scanned data. The higher the sensitivity, the easier it is for the machine to detect blank pages.
Margin Settings Adjust the scanning position of documents if the output position of the images has shifted or if the images are squeezed together or stretched vertically.
Set New Default Save your settings as the default settings.
Factory Reset Restore all settings back to the factory settings.
- To save the settings as a shortcut, press [Save as Shortcut].
To preview the scanned results before the scanned data is saved, press and then press [Preview]. The machine scans the document and displays the scanned results on the LCD. If the scanned results are fine, press [Start] to save it and to finish processing.
The [Preview] option is not available if:
- Document size is set to Long paper
- Color is set to Black and White
- File Type is set to TIFF
- Press [Start].The machine starts scanning.
