How do I set up my Brother machine's built-in Message Center?

Your Brother machine has a built-in digital Message Center that allows you to store up to 99 incoming voice or fax messages. Messages can be up to 3 minutes in length and can be accessed remotely by using a Remote Access Code. Please note that the number of messages you can store will depend on how much of your Brother machine's memory is being used by other functions.

In the event of a power failure, data will remain stored in your Brother machine's memory for approximately 24 hours.

You must set up the Message Center in the following order:

 


RECORDING THE MESSAGE CENTER OUTGOING MESSAGE (OGM)

  1. Press MENU, 2 (Fax), 7 (Setup Msg Ctr), 1 (OGM).
  2. Press the UP OR DOWN ARROW key to select Msg Ctr OGM.

Msg Ctr OGM is the ONLY setting you can choose if you want to enable the Message Center.

  1. Press OK.
  2. Press the UP OR DOWN ARROW key to select Record OGM.
  3. Record your outgoing message by speaking clearly into the Brother machine's microphone.

    • For example:
      "Hello. We are unable to take your call at this time. Please leave a message after the signal. If you wish to send a fax, please press *51, wait until you hear fax tones, then press the Start button."
    • Your Brother machine's microphone is located on the upper right of the control panel, under the MESSAGE CENTER key.
    • Your outgoing message should be less than 20 seconds long.

  4. Press the STOP/EXIT key when you have finished recording your outgoing message. The Message Center will play back your outgoing message.
  5. Press the STOP/EXIT key to exit the menu. You can now enable Message Center mode.

 

SETTING MESSAGE STORAGE

When Message Center mode is activated, it is always set to store incoming voice messages. However, if you want to store fax messages in the Brother machine's Message Center, you must enable Fax Storage by following these steps:

  1. Press MENU, 2 (Fax), 5 (Remote Fax Opt), 1 (Fwd/Page/Store).
  2. Press the UP OR DOWN ARROW key to select Fax Storage.
  3. Press OK.
  4. Press STOP/EXIT.

 

  • When you enable Fax Storage, a backup copy of each incoming fax will be printed automatically at the time the fax is received.

 

  • If Fax Storage is turned on, your Brother machine cannot receive a color fax unless the sending machine converts it to black & white.

 

ACTIVATING MESSAGE CENTER MODE

To activate the Message Center Mode, simply press the MESSAGE CENTER key until it is illuminated and the LCD reads: MC: Msg Ctr. The MESSAGE CENTER key is located on the upper right corner of the Brother machine's control panel.

 

GETTING YOUR MESSAGES

The MESSAGE CENTER key will flash on and off when you have NEW voice messages waiting to be reviewed. The LCD will display the number of voice and fax messages that are currently being stored. To retrieve your stored messages, please follow the appropriate steps listed below.

 

Playing Voice Messages

Follow these steps to listen to stored voice messages:

  1. Press the PLAY key. The Message Center will begin to play your messages.

    • During message playback, you can adjust the volume by press the LEFT OR RIGHT ARROW key.
    • All messages are played in the order that they were received. The LCD shows the number of the current message, and the total number of messages received.
    • During playback, the LCD shows the date and time the message was recorded.

  2. Press the * (RWD) key at the end of a message to repeat that message. Press the # (FWD) to skip to the next message. You can press * and # repeatedly until you reach the message you want to play.
  3. Press STOP/EXIT.

 

Printing Fax Messages

Once you print a stored fax message, it is automatically erased from the Message Center memory. To print stored fax messages, please follow these steps:

  1. Press the PLAY key.

    • After two seconds, your Brother machine will begin to play your stored voice messages.
    • If Fax Storage is on and there are faxes in memory, your Brother machine's LCD will read: Print Fax? 1. Yes 2. No.

  2. Do one of the following:

    • Press 1 to print your faxes.
    • Press 2 to exit the menu without printing.

 

ERASING INCOMING MESSAGES

You can erase voice messages individually or all at once. To erase voice messages individually, please follow these steps:

  1. Press the PLAY key. The Brother machine sounds a two-second beep and begins message playback. Each message is preceded by one long beep, and is followed by two short beeps.
  2. To erase a specific message, press the ERASE key during the message, or immediately after the two short beeps.
  3. The LCD will read, Erase this Msg.? 1. Yes 2. No. Do one of the following:

    • Press 1 to erase the message.
    • Press 2 to cancel.

  4. Press STOP/EXIT.

To erase all voice messages at once, please follow these steps:

  1. Press the ERASE key.
  2. Press the UP OR DOWN ARROW key to select one of the following options:

    • To erase all stored voice messages, select Erase All Voice?
    • To erase all stored fax messages, select Erase All Fax?
    • To erase all voice and fax messages, select Erase All Msg.?

  3. Do one of the following:

    • Press 1 to erase the messages you selected.
    • Press 2 to cancel.

  4. Press STOP/EXIT.
