What are the various reports available on my fax machine and how do I print them?

The Fax Activity Report

The Fax Activity report lists information about the last 200 incoming and outgoing faxes. Using this report, you can tell the date and time each fax was sent or received, the name or number the fax was sent to or received from (provided the Station ID has been set), and whether or not the transmission was successful. When the 201st fax is sent, the 1st fax is deleted from memory.

 

You can print this report on demand by following these steps:

  1. Press the Reports key.
  2. Press right or left arrow key to select FAX ACTIVITY.
  3. The machine will print the report.

 

In addition, you can set the machine to print the Fax Activity report at regular intervals (every 50 faxes; every 6, 12, or 24 hours; every 2 or 7 days). The default setting is every 50 faxes. To set or change the interval at which the Fax Activity report prints, follow these steps:

  1. Press Menu.
  2. Press right or left arrow key to select FAX and press Set.
  3. Press right or left arrow key to select SETUP REPORTS and press Set.
  4. Press right or left arrow key to select ACT. INTERVAL and press Set.
  5. Press right or left arrow key to select an interval, then press Set to confirm your choice.

If you choose 7 days, the LCD will ask you to choose a day on which to begin the 7-day countdown.

 

 

  1. Enter the time you want the report to begin printing in 24-hour format. For example, enter 19:45 rather than 7:45PM. After entering the time, press Set to confirm your choice.
  2. Press the Stop/Exit key to exit the menu.

 

  • If you select Every 50 Faxes, the fax machine will print the Activity Report when the machine has stored data for 50 faxes.
  • If you select an interval other than Every 50 Faxes, the fax machine will print the report at the designated time and then erase all stored fax data from its memory.
  • If the machine's memory becomes full with 200 entries before the amount of time you selected has passed, the fax machine will print the Activity Report early and then erase all stored fax data from memory.
  • If you want an extra report before it is due to print, you can print it without erasing the fax data in memory.

 

 

On the Activity Report, TX indicates a fax you sent, while RX indicates a fax you received.

 

 

The Transmission Verification Report

You can use the Transmission Verification Report as proof that you sent a fax. This report lists the job number of the transmission, the date and time the transmission was sent, and whether or not the transmission was successful. If the transmission in question was successful, the report will read "OK".

The Transmission Verification Report has four different settings you can choose from:

  • OFF
    The report is printed ONLY if an error prevents the transmission from being completed.

     
  • OFF+IMAGE
    The report is printed ONLY if an error prevents the transmission from being completed. Additionally, a portion of the fax's first page will print on the report to help you remember which faxes you must resend.

     
  • ON
    The report is printed every time you send a fax, regardless of whether or not the transmission was successful.

     
  • ON+IMAGE
    The report is printed every time you send a fax, regardless of whether or not the transmission was successful. Additionally, a portion of the fax's first page will print on the report to help you remember which faxes you must resend.

To set the Transmission Verification Report to your liking, please follow these steps:

  1. Press Menu.
  2. Press right or left arrow key to select FAX and press Set.
  3. Press right or left arrow key to select SETUP REPORTS and press Set.
  4. Press right or left arrow key to select TRANSMISSION and press Set.
  5. Press right or left arrow key to select ON, ON+IMAGE, OFF, or OFF+IMAGE.
  6. Press the Set key to confirm your choice.
  7. Press the Stop/Exit key to exit the menu.

Using the Reports Key

You can print five different reports on demand by following these instructions:

  1. Press the Reports key.
  2. Press the numerical dial pad key (1-5) that corresponds to the report you want to print (see the list below)
    -OR-
    Use right or left arrow key to select the report you want to print, then press the Set key to confirm your choice.
  3. Press the Stop/Exit key.

The following reports are available:

  • Help List
    Allows you to see, at-a-glance, how to quickly program every menu selection.

     
  • Auto Dial
    Lists names and numbers stored as One-Touch and Speed Dial locations in numerical order. This report also shows which of the stored numbers are stored in Groups, and specifies which Group each number is in.

     
  • Fax Activity
    As described above, this report lists information about the incoming and outgoing faxes. Selecting "Fax Activity" with the Reports key reprints the last activity report.

     
  • Transmission
    Prints a Transmission Verification report for your last transmission.

     
  • User Settings
    Lists the current settings for GENERAL SETUP, SETUP RECEIVE, SETUP SEND, SETUP REPORT, REMOTE FAX OPT, and MISCELLANEOUS.
