Setup and use Brother PC-FAX receiving

If you turn on the PC-fax receive feature your machine will store received faxes into memory and send them to your PC automatically. You will then be able to view the received faxes on the PC.

 

Even if you have turned off your PC (at night or on the weekend, for example), your machine will receive and store your faxes in its memory. The LCD will show the number of stored faxes received.

 

To setup PC-fax receiving you must turn on PC-fax receiving at the machine and through the Brother software.

ENABLE PC-FAX RECEIVING WITHIN THE SOFTWARE:

 

  1. Run the Brother PC-FAX Receive software.

    (Windows 7)
    Click Start => (All) Programs => Brother => [model name] => PC-Fax Receiving => Receive.

    (Windows 8)
    1. On the Start screen, click DownArrow. If DownArrowis not on the Start screen, right-click somewhere on an empty spot, and then click, All Apps from the bar.
    2. Click Brother Utilities.
    3. Choose your model name from the pulldown list.
    4. Choose PC-FAX Receive and then click Receive.
    (Windows 10, Windows 11)
    1. Click Start => (All apps =>) Brother => Brother Utilities.
    2. Choose your model name from the pulldown list.
    3. Choose PC-FAX Receive and then click Receive.

     

  2. If you receive a statement about how to configure PC-Fax Receiving, you may read the instructions, and then click OK.

  3. The Brother PC-fax receiving icon will now appear in your Windows Task Tray indicating that Brother PC-Fax Receiving is active.

ENABLE PC-FAX RECEIVING WITHIN THE BROTHER MACHINE:

 

 

  1. Press MENU, 2 (Fax), 5 (Remote Fax Opt), 1 (Fwd/Page/Store).
     
  2. Press the UP OR DOWN ARROW key to select PC FAX RECEIVE and press OK.
     
  3. Press the UP OR DOWN ARROW key to select where the faxes should be sent.

     

    • If the machine is connected through USB select <USB>and press OK.
       
    • If the machine is installed over a network select the destination computer's name and press OK.

     

  4. Press the UP OR DOWN ARROW key to select one of the following options for Backup Print and then press OK.

     

    • BACKUP PRINT: ON = The Brother machine will also print the fax so you will have a printed copy.
       
    • BACKUP PRINT: OFF = The Brother machine will not print a copy of the received fax.

     

  5. Press the STOP/EXIT key.

 

 

CONFIGURE THE PC-FAX RECEIVING SETTINGS:

 

  1. On the computer, right click on the "PC-Fax receive icon" and left click on PC-fax RX Setup.

  2. In the Save File To field, click the Browse button if you want to change the path where PC-Fax files are saved.
     
  3. In the File Format section, choose the extension you want as the received document format. The default format is .tif.
     
  4. To play a wave file (audio file) when receiving a fax check the box for Play Wave File When Receiving Fax then click the Browse button to locate the wave file you want to play.
     
  5. To automatically start the PC-Fax receiving software when you start your computer, check the box next to Add To Startup Folder.
     
  6. If you would like to enable or disable the PC-Fax setup message window that appears when the PC-Fax receiving application is lauched, you may check or uncheck the box for Show the PC-Fax Rx setup message.
     
  7. Click OK to save your setting and exit the dialog box.

CONFIGURE THE NETWORK PC-FAX RECEIVING SETTINGS:

 

The settings to send received faxes to your computer were automatically configured during the installation of MFL-Pro Suite. If you wish to change the network PC-FAX Receiving settings, follow the steps below:

 

  1. On the computer, right click on the "PC-Fax icon" and left click on PC-fax RX Setup.

  2. Click the NETWORK SETTINGS button. The Network Settings dialog box will open.

  3. Choose Specify your machine by Address or Specify your machine by Name.
     
  4. Enter the IP address or Node Name of your machine.
     
    You may also click the BROWSE button and choose your Brother machine from a list of Brother machines found on the network.

     

  5. Under Display Your PC Name (Max 15 characters), you can specify the PC name that will appear on the display of the machine when you configure PC-Fax Receiving. To change the name, enter the new name in field.
     
  6. Click OK.

 

VIEW NEW PC-FAX MESSAGES:

 

  1. Each time your PC is receiving a PC-FAX, the icon will alternate between Image and Image. Once the PC-Fax has been received, the icon will change to Image. This Image icon will change to Image once the received fax has been viewed.
     
  2. To view faxes that have been received to the computer double click the Image icon on the PC Task Tray. You may also right-click on the icon and select View the Faxes.The received faxes will be displayed.

  3. Double-click any new faxes to open and view them.

 

The subject of your unread PC-Fax message will be based on the date and time that the messages were received until you assign a file name. For example Fax 2-20-2011 16:40:21.tif
