Can my Brother machine print a report to verify a fax I sent was received?

You can use the Transmission Verification Report as confirmation that you sent a fax. This report lists the name or fax number of the receiving party, the date, time, and duration of the transmission, the number of pages transmitted, and whether or not the transmission was successful.

 

There are several settings available for the Transmission Verification Report:

  • On: the Transmission Verification Report prints after every fax you send.

  • On+Image: the Transmission Verification Report prints after every fax you send. A portion of the fax's first page appears on the report.

  • Off: the Transmission Verification Report prints if your fax is unsuccessful due to a transmission error. The report will also print if the receiving machine modifies the size of the document you fax, or if you send a color fax that the receiving machine prints in black and white. This is the default setting.

  • Off+Image: the Transmission Verification Report prints if your fax is unsuccessful due to a transmission error. The report will also print if your fax is successful, but the receiving machine modifies the size of the document you fax, or if you send a color fax that the receiving machine prints in black and white. A portion of the fax's first page appears on the report.

To program the Transmission Verification Report, please follow these steps:

  1. Press the Menu key.
  2. Press the Up or Down Arrow key or the dial pad to choose Fax and press OK.
  3. Press the Up or Down Arrow key or the dial pad to choose Report Setting and press OK.
  4. Press the Up or Down Arrow key or the dial pad to choose Transmission.
  5. Press the Up or Down (Left or Right)  Arrow key to choose one of the above-listed settings.

Step5: The direction of the Arrow keys depend on your Brother machine.

 

If you select On+Image, Off+Image, or Off2+Image, the image will only appear on the Transmission Verification Report if Real Time Transmission is set to Off.

  1. Press OK.
  2. Press Stop/Exit.

  • If your transmission is successful, "OK" will appear next to "Result" on the Transmission Verification Report.
  • If your transmission is not successful, "NG" will appear next to "Result" on the Transmission Verification Report.

You can also make use of the Fax Journal (activity report) which will list the last 200 incoming and outgoing faxes. Using this report, you can tell the date and time each fax was sent or received, the name or number the fax was sent to or received from (provided the Station I.D. has been set), and whether or not the transmission was successful. When the 201st fax is sent, the 1st fax is deleted from memory.

 

You can program the machine to print the report at regular intervals (every 50 faxes; every 6, 12, or 24 hours; every 2 or 7 days) and you can print the report on demand.

To set the report interval, complete the following instructions:

 

  1. Press the Menu key.
  2. Press the Up or Down Arrow key or the dial pad to choose Fax and press OK.
  3. Press the Up or Down Arrow key or the dial pad to choose Report Setting and press OK.
  4. Press the Up or Down Arrow key or the dial pad to choose Journal Period.
  5. Press the Up or Down (Left or Right) Arrow key until the interval you wish to use appears. You can set the Brother machine to print activity reports at specific intervals (50 faxes, 6, 12, 24 hours, 2, 7 days or Off). Once the interval appears, press the OK key.

Step5: The direction of the Arrow keys depend on your Brother machine.

If you choose 7 days, the LCD will ask you to choose the first day for the 7-day countdown.

  1. Enter the time to begin printing, in 24 hour format. For example, enter 19:45 for 7:45PM.
    Press OK.
  2. Press Stop/Exit.

When the Brother machine prints the Fax Journal report at any of the intervals you selected, all the reported jobs will be erased from the machine's memory.

 

If you select 6, 12, 24 hours, 2 or 7 days, the machine will print the report at the chosen time and then erase all jobs from its memory. If the machine's memory becomes full with 200 jobs before the time you chose has passed, the machine will print the Journal early and then erase all jobs from the memory.

 

Printing the Fax Journal report on demand

 

You can print the Fax Journal report on demand by following the steps listed below. Please note that printing the Fax Journal report in this manner will NOT erase the call data in your Brother machine's memory.

  1. Press the Menu key.
  2. Press the Up or Down Arrow key to choose Print Reports and press OK.
  3. Press the Up or Down Arrow key to choose Fax Journal and press OK.
  4. Press the Black(Mono) Start key. Your Brother machine will print the report.
