FAQs & Troubleshooting

Confirm that a FAX I sent was received correctly.

You can use the Transmission Verification Report as proof that you sent a fax. This report lists the sender's name or fax number, the time and date of the transmission, number of pages sent, and whether or not the transmission was successful.

There are several settings available for the Transmission Verification Report:

  • On: Prints a report after every fax you send.
  • On+Image: Prints a report after every fax you send. A portion of the fax's first page appears on the report.
  • Off: Prints a report if your fax is unsuccessful due to a transmission error. The report will also print if you send a color fax that the receiving machine prints in black & white. Off is the default setting.
  • Off+Image: Prints a report if your fax is unsuccessful due to a transmission error. The report will also print if you send a color fax that the receiving machine prints in black & white. A portion of the fax's first page appears on the report.

Follow the steps below to program the Transmission Verification Report:

  1. Press Settings.
  2. Press the Up or Down arrow key to choose Fax, and then press OK.
  3. Press the Up or Down arrow key to choose Report Setting, and then press OK.
  4. Press the Up or Down arrow key to choose Transmission or XMIT Report, and then press OK.
  5. Press the Up or Down arrow key to choose one of the above-listed settings.

If you choose On+Image or Off+Image, the image will not appear on the Transmission Verification Report if Real Time Transmission is set to On. The image will not appear on the report when you send a color fax.

  6. Press OK.
  7. Press Stop/Exit.
    • If your transmission is successful, OK will appear next to RESULT on the Transmission Verification Report.
    • If your transmission is not successful, NG or ERROR will appear next to RESULT on the Transmission Verification Report.

You can also make use of the Fax Journal (activity report) which will list the last 200 incoming and outgoing faxes. Using this report, you can tell the date and time each fax was sent or received, the name or number the fax was sent to or received from (provided the Station I.D. has been set), and whether or not the transmission was successful. When the 201st fax is sent, the 1st fax is deleted from memory.

You can program the machine to print the report at regular intervals (every 50 faxes; every 6, 12, or 24 hours; every 2 or 7 days) and you can print the report on demand.

Follow the steps below to set the report interval:

When using the Auto Power Off feature and the machine powers off before the chosen Interval Period, the machine will print a Fax Journal report, and then erase all fax jobs from the Journal's memory.

  1. Press Settings.
  2. Press the Up or Down arrow key to choose Fax, and then press OK.
  3. Press the Up or Down arrow key to choose Report Setting, and then press OK.
  4. Press the Up or Down arrow key to choose Journal Period, and then press OK.
  5. Press the Up or Down arrow key to choose an interval, and then press OK.
If you choose Every 50 Faxes, go to STEP 8.

    • 6, 12, 24 hours, 2 or 7 days
The machine will print the report at the chosen interval and then erase all fax jobs from the Journal's memory. If the memory becomes full with 200 jobs before the time you chose has passed, the machine will print the Journal early and then erase all fax jobs from the memory. If you want an extra report before it is due to print, you can print it without erasing the jobs.

    • Every 50 Faxes
The machine will print the Fax Journal report when the machine has stored 50 fax jobs.
  6. If you chose 6, 12, 24 hours, 2 or 7 days, enter the time to start printing (in 24-hour format) using the dial pad. Press OK.
For example: enter 19:45 for 7:45 PM.

    (For some countries)

When you set 12h Clock in the Date & Time setting, enter the time in 12-hour format.

  7. If you chose Every 7 Days, press the Up or Down arrow key to choose the first day of the seven-day countdown. Press OK.
  8. Press Stop/Exit.
