FAQs & Troubleshooting

FAQs & Troubleshooting

The message "Poor Line Condition" or "NG" appears on the Transmission Verification Report when I try to send a fax.

These messages are generally caused by either interference on the line, phone line connection and/or an alarm system or another device on same line as the Brother machine.

To resolve this issue follow the steps listed below:

  1. Is your telephone service bundled with your Internet or cable service, do you have to connect your telephone to a modem, or are you using Voice Over Internet Protocol (VoIP)?
  2. Verify information is displayed on the machine's display (hereinafter called LCD).
    • If the LCD displays the date and time, go to Step 3.
    • If the LCD displays an error message (for example, "Paper Jam") or status message (for example, "Replace Ink"), refer to the solution that addresses the message.
    • If the LCD is blank, click here to see My Brlther machine has no power.
  3. Check for a dial tone: (Click here to see how to verify a dial tone.)
    • If there is a dial tone, go to Step 8.
    • If there is no dial tone, go to Step 4.
  4. Verify the telephone cord is directly connected from the wall telephone jack to the jack labeled LINE on the Brother machine.
    • If the telephone cord is directly connected from the wall telephone jack to the jack labeled LINE on the Brother machine, go to Step 6.
    • If the telephone cord is not directly connected from the wall telephone jack to the jack labeled LINE on the Brother machine, follow these steps:
    1. Directly connect the telephone cord from the wall telephone jack to the jack labeled LINE on the Brother machine.
    2. Go to Step 5.
  5. Check for a dial tone: (Click here to see how to verify a dial tone.)
    • If there is a dial tone, go to Step 7.
    • If there is no dial tone, go to Step 6.
  6. Follow these steps:
    1. Remove the telephone cord from the wall jack.
    2. Use a known-working telephone cord to connect a known-working extension telephone to the same wall jack.
    3. Lift the telephone's handset.
    4. Listen for a dial tone.
    5. Hang up the telephone's handset.
    6. Do one of the following:
      • If the telephone does not have a dial tone, the issue is related to the phone line or wall jack. You must contact your local telephone company for assistance.
      • If the telephone has a dial tone, go to Step g.
    7. Disconnect the telephone cord from the telephone.
    8. Directly connect the telephone cord to the jack labeled LINE on the Brother machine.
    9. Go to Step 7
  7. Check for a dial tone: (Click here to see how to verify a dial tone.)
  8. Check the quality of the dial tone. (Click here to see how to verify a dial tone.)
    • If the dial tone quality is poor, contact your telephone service provider for further assistance.
    • If the dial tone is clear, go to Step 9.
  9. Do you have any splitters, commshare devices, credit card machines, power strips, or other devices connected to your machine or the wall telephone jack?
    • If yes, you must remove them to continue troubleshooting. This is for testing purposes.
Removing such devices helps to determine whether the problem is related to the Brother machine or another device on the line. Once the issue is resolved, you can attempt to reconnect the device and test on your own.
Remove the device and go to Step 10.
    • If no, go to Step 10.
  10. Send a test fax.

Do not press Hook before dialing.

    • If the fax is received, the issue is resolved.
    • If the problem continues, go to Step 11.
  11. Change the Brother machine's Compatibility setting to Basic (for VoIP).
This adjusts the Brother machine's sensitivity to interference on the phone line by lowering its transmission speed:
    1. Press Settings(Settings).
    2. Press All Settings.
    3. Swipe up or down, or press Up or Down arrow key to display Initial Setup.
    4. Press Initial Setup.
    5. Swipe up or down, or press Up or Down arrow key to display Compatibility.
    6. Press Basic (for VoIP).
    7. Press Home(Home).

If you change the Compatibility to Basic (for VoIP):

      • The machine will print all received faxes in black and white.
      • The Error Correction Mode (ECM) feature will only be available for color fax sending.

    8. Try to send another test fax.
      • If the fax is received, the issue is resolved.
      • If the fax is not received, go to Step 12.
  12. Connect the Brother machine to a different, known-working telephone line and attempt to send another test fax.

Testing the Brother machine on a different, known-working telephone line will help determine if the problem is related to the Brother machine or telephone line.
