How can I prevent public access to certain features on my Brother machine?

Secure Function Lock is a feature that enables you to restrict public access to these functions of your Brother machine:

 

  • Fax Tx (Fax Transmission)
  • Fax Rx (Fax Reception)
  • Copy
  • Scan
  • PC Printing

Secure Function Lock also prevents users from changing the default machine settings by limiting access to these settings. You must disable at least one function if you want to turn Secure Function Lock on.
 

You can enable access to restricted operations by creating a restricted user profile. Restricted users must choose their user name from a list and enter a password to use the Brother machine.
 

  • Make a careful note of your password. If you forget it, please contact Brother Customer Service from "Contact Us".
     
  • You can set up to 10 individual restricted users and one general Public user.
     
  • When you set up a Public user, you can restrict one or more of the Brother machine's functions to all users who do not have a password.
     
  • Only administrators can set limitations and make changes to user profiles.
     
  • When PC Printing is disabled, your PC print jobs are lost without notification.
     
  • When Secure Function Lock is on, you can only adjust the following fax settings: Contrast, Polled Transmission, and Coverpage Setup.
     
  • If Fax Transmission is disabled, you cannot use any of the Brother machine's fax functions.
     
  • Polling Receive is enabled only when both Fax Transmission and Fax Reception are enabled.

 

SETTING UP SECURE FUNCTION LOCK

You must set up the Secure Function Lock in the following order:

 

  1. Set the Administrator password (See STEP A).
     
  2. Set up the Public User (See STEP B) and Restricted Users (if any) (See STEP C).
     
  3. Turn Secure Function Lock on (See STEP D).

 

STEP A: SETTING THE ADMINISTRATOR PASSWORD

Use the Administrator password that you set up using these steps to set up new user profiles and turn Secure Function Lock on and off.
 

To set the Administrator password, follow these steps:

 

  1. Press MENU and choose General Setup => Security => Function Lock.
     
  2. Enter a four-digit number for the password using numbers 0 through 9. Make a careful note of your password. If you forget it, please contact Brother Customer Service from "Contact Us".
     
  3. Press the OK key.
     
  4. Re-enter the password when the LCD reads "Verify."
     
  5. Press the OK key.
     
  6. Press the STOP/EXIT key.

 

STEP B: SETTING UP THE PUBLIC USER
Public users do not need a password to use the Brother machine, but they will only be able to use the functions that you allow them to use. You must disable at least one function in the Public user profile.
 

To set up the Public user, follow these steps:

 

  1. Press MENU and choose General Setup => Security => Function Lock.
     
  2. Press the UP OR DOWN ARROW key to choose Setup User or Setup ID.
     
  3. Press the OK key.
     
  4. Enter the four-digit Administrator password set in STEP A.
     
  5. Press the UP OR DOWN ARROW key to choose Public.
     
  6. Press the OK key.
     
  7. Do one of the following:

     

    • To set up a Public user, follow these steps:

       

      1. Press the UP OR DOWN ARROW key to choose Enable Fax Tx or Disable Fax Tx.
         
      2. After you have set Fax Tx, press the UP OR DOWN ARROW key to choose another setting to enable or disable. You can choose Fax Rx, Copy, Scan, and Print.

        You can only enable PC Print for the public user. When PC Print is disabled for the Public user, no restricted users can use the PC Print function.

      3. Press the UP OR DOWN ARROW key to enable or disable the setting you chosen.
         
      4. Press the OK key.
         
    • To change the Public user settings, follow these steps:

       

      1. Press the UP OR DOWN ARROW key to choose the setting you want to change.
         
      2. Press the UP OR DOWN ARROW key to turn the setting you chosen on or off.
         
      3. Repeat STEPS a and b until you finish changing the Public user settings.

        You can only enable PC Print for the public user. When PC Print is disabled for the Public user, no restricted users can use the PC Print function.

      4. Press the STOP/EXIT key.

 

STEP C: SETTING UP RESTRICTED USERS

You can set up users with specific restrictions and individual passwords.
 

For example, if you disabled the Scan function for the Public user, but you want to give specific users access to this function, you can set these users up as restricted users with access to the Scan function.
 

To set up restricted users, follow these steps:
 

  1. Press MENU and choose General Setup => Security => Function Lock.
     
  2. Press the UP OR DOWN ARROW key to choose Setup User or Setup ID.
     
  3. Press the OK key.
     
  4. Enter the four-digit Administrator password set in STEP A.
     
  5. Press the OK key.
     
  6. Press the UP OR DOWN ARROW key to choose User01.
     
  7. Press the OK key.
     
  8. Use the dial pad to enter a user name.
     
  9. Press the OK key.
     
  10. Enter a four-digit password for this user.
     
  11. Press the OK key.
     
  12. Press the UP OR DOWN ARROW key to choose Enable Fax Tx or Disable Fax Tx.
     
  13. Press the OK key.
     
  14. Press the UP OR DOWN ARROW key to choose another setting to enable or disable. You can choose Fax Rx, Copy, and Scan.
     
  15. Press the UP OR DOWN ARROW key to enable or disable the setting you chosen.
     
  16. Press the OK key. Repeat STEPS 14 through 16 until you finish programming the restricted user settings.
     
  17. Press the UP OR DOWN ARROW key to choose Exit.
     
  18. Press the OK key.
     
  19. Repeat STEPS 6 through 16 to enter additional restricted users and passwords.

    Two users cannot have the same password.

  20. Press the STOP/EXIT key.

 

STEP D: TURNING SECURE FUNCTION LOCK ON
 

To turn the Secure Function Lock feature on, follow these steps:
 

  1. Press MENU and choose General Setup => Security => Function Lock.
     
  2. Press the UP OR DOWN ARROW key to choose Lock OffOn.
     
  3. Press the OK key.
     
  4. Enter the four-digit Administrator password set in STEP A.
     
  5. Press the OK key.
